Who we are

SoulShift Studios is operated by Heather Harris-DeMelo as the Alberta sole proprietorship SOUL SHIFT STUDIOS. This policy covers our Alberta website, programs and online services. Back to You is for adults aged 18 and over.

For privacy questions or requests, contact Heather at heather@soulshiftstudios.com, +1 (904) 927-9325, or by mail to 412 Chattan Way, Saint Johns, FL 32259, USA. This is a mailing address only, not a class location.

What we collect and why

We collect information you provide through enquiries, registration, purchases, participation and communications. This can include your contact details, bookings, payment records, consent choices, community posts and text, voice or video messages. We use it to answer questions, deliver and personalize your program, manage payments and send service updates. Website enquiries are stored in our WordPress/MetForm database and sent to Heather’s email; authorized administrators may access them for enquiry handling and technical support.

For Back to You, health details are optional. We ask about practical participation needs and adjustments, not diagnoses, medication lists, medical records or trauma histories. We obtain a separate choice before using sensitive information shared in the welcome process, unless law permits otherwise. Receipt of a privacy notice alone is not consent. Blank or conflicting sensitive-information choices mean no consent; arrange a private conversation before sharing sensitive details. If information is insufficient to offer an activity safely, we discuss alternatives or professional advice and pause the affected activity as needed.

Private check-ins, questions and optional ratings or feedback support participation and program improvement. Optional answers may be skipped. Your journal stays with you; uploads, personal photos and trauma histories are not required. Private contributions stay private unless you separately select the limited promotional permission for general program comments or suitable call excerpts. Health or trauma information, distress, journals and other people’s private information are excluded from promotion. Later sensitive collection needs appropriate information and consent; welcome consent is not a blanket permission for every later collection.

Our website may collect device details, IP addresses, pages viewed and interactions through the tools described below. We also use information to improve our services, protect against misuse, handle complaints and meet legal obligations. Optional marketing depends on your choices.

Please keep sensitive health details and payment credentials out of general enquiry forms and social-media messages. Ask Heather for the appropriate way to share them.

Your choices

We explain why information is needed and obtain consent as required. Reading this policy or providing a phone number does not enrol you in marketing. Email and promotional text subscriptions are separate, optional choices. Unsubscribe using the message instructions or contact Heather.

You can ask Heather to change or withdraw consent. We will explain any effect on services and any information we must retain by law. Necessary service messages may continue through an appropriate channel.

Who can access information

For Back to You, only Heather and Walter have internal access, limited to their work. Heather teaches and reviews participation needs. Walter helps with registration, payments, email administration and technical support and may incidentally encounter private information in that work; he does not routinely review health details to teach or assess participants. Private intake is not routinely shared with other participants or the venue. Technology providers process information for our website, communications, payments, storage and program delivery. Necessary disclosures to advisers, insurers or emergency services are limited to what is reasonably needed and legally permitted.

We do not sell or rent your personal information. Mobile numbers and text-message consent are not shared with third parties or affiliates for their own marketing. Providers may process them only to support our messaging service.

Some providers process information outside Canada, where local laws may allow government access. Contact Heather for information about our overseas providers, processing countries and purposes, and our related written practices.

Community, support and recordings

Community members can see information shared with the group; keep private health information out of community posts. Peer confidentiality cannot be guaranteed. Forms are returned to Heather’s email and stored in restricted Google Drive. Private support uses Skool, Gmail/email, our own phones or another agreed method. We explain video arrangements and viewers before use. Provider privacy policies also apply. Program messages and forms are not monitored for emergencies; use emergency services for urgent help.

Full Back to You group sessions and confidential group sharing are not recorded. Before recording each private live call/check-in, Heather explains the recording and asks permission. You may decline or stop recording and receive the same unrecorded support. Agreed recordings help you revisit the call and Heather review it. They are stored in restricted Google Drive and privately available to you through May 21, 2027. Full recordings are then deleted unless a legal or insurance purpose requires retention, with access restricted accordingly. Temporary phone copies are deleted after the Drive copy is checked. Separately permitted promotional excerpts may remain under the media permission. Permission to record a call does not permit advertising use.

Course photos, short clips and general program testimonials require separate optional choices for materials and channels. Suitable excerpts from recorded private calls require an additional call-excerpt choice. Website, unpaid social and paid ads are separate choices. Blank, conflicting or unclear answers mean No; a blank name choice means no name, and tagging requires a separate choice. Heather may capture announced short clips/photos during activities and separate optional photo moments, keeping nonconsenting participants’ images and voices out. Declining does not affect instruction or support.

Selected material may promote SoulShift, this program and future SoulShift programs until permission is withdrawn. This does not authorize new capture in later cohorts or coaching. Routine in-scope trimming, captioning and arrangement need no approval of every exact version, but must preserve meaning, context and selected attribution. A personal story beyond general program comments requires separate written approval of the exact content, description and attribution. Excluded sensitive material remains excluded. New purposes/channels or materially changed portrayals need further permission. Tell Heather or email heather@soulshiftstudios.com to withdraw. We stop affected capture and new uses, cancel queued posts and paid promotion, and remove material from channels we control without undue delay, explaining limits. Distributed print copies or independent copies/shares may not be recoverable; this does not permit new uses. Permission does not authorize sale, another business’s promotion, photographer portfolios or artificial imitation of your voice/image.

Cookies and website tracking

Necessary website storage supports security, site operation and remembering your cookie choices. We use Complianz to manage those choices. Optional embedded YouTube videos are supplied by Google/YouTube and may send your IP address, device information and viewing activity to that provider when enabled. You can decline optional content and still enquire about or participate in the program.

As of this policy date, Google Analytics, Meta Pixel, Microsoft Clarity and LinkedIn Insight Tag are not configured on this website. We do not currently run website analytics or retargeting through those tools. If we add optional measurement or advertising tools, we will update this notice and the consent controls before enabling them.

Use Cookie settings to accept or reject optional storage and embedded content, or change your choice later. Necessary storage remains active. We do not send private intake, check-ins, health information or other sensitive participant content to advertising audiences or session-replay services.

Complianz consent cookies record your selected categories, policy version and banner status, normally for up to 365 days. YouTube may use its own cookies and storage after consent; their duration and use depend on your Google settings and interactions. See Google’s Privacy Policy and Google’s cookie information. You can also clear or restrict storage in your browser. Withdrawing consent stops future optional loading; it does not undo information already received by a provider.

Keeping information safe and responding to requests

We use safeguards appropriate to the sensitivity of the information. No system is completely secure. If a privacy incident occurs, we assess it and notify the regulator and affected people as required.

We keep information only as long as reasonably needed for its purpose and applicable accounting, insurance or legal obligations, then securely delete it or remove identifying details.

Contact Heather to request access, correction or deletion, or ask how your information has been used or shared. We may verify your identity and will respond within applicable legal deadlines, explaining any limits. You can raise concerns with the Office of the Information and Privacy Commissioner of Alberta or, where federal law applies, the Office of the Privacy Commissioner of Canada.

We will date policy updates and obtain further consent where required for new uses.

Optional text-message program

If you subscribe, SoulShift Studios may send promotional texts about programs, events and offers. Joining is not required to enquire, purchase or participate. Message frequency varies; your provider’s message and data charges may apply.

Use the unsubscribe instructions in a message or contact Heather using the details above. We honour withdrawal without delay and within applicable legal deadlines; commercial-message unsubscribe requests are processed no later than 10 business days. Necessary service messages may continue through an agreed appropriate channel. We do not charge for unsubscribing.

Promotional email is sent through Gmail and promotional texts through our own phones. You can reply to ask us to stop or email Heather; requests are handled manually. We keep separate email and text choices and a do-not-contact record. We do not promise an automated STOP/HELP service. Message delivery depends on the network and your provider.
